Save time by uploading your users in bulk with a spreadsheet
One of the easiest ways to upload groups of users into your Learn to Win account is by using a spreadsheet. Before getting started, do the following:
- Gather all of your users’ names and email addresses.
- Create your user groups. For help on creating your user groups, click here.
Note: Individuals will immediately receive an email from Learn to Win after they have been added to the platform. It is important to send out a pre-communication email letting users know that they will be receiving this email. The pre-communication email should include a description of Learn to Win, the time that users will be added (when to expect an email from Learn to Win), a description of the training they will see in their account, and any due dates associated with the training. It is always a good idea to show this pre-communication email to your CSM to ensure all necessary information is included.
Once you have your user groups set and have gathered all of the information, click Management > Manage Users > Add Members.
(If you are an athletics user, this may appear Players and Coaches > Create and Invite Users)
In the next screen, select Import Roster. Click Choose CSV if the file is already created or Download our spreadsheet template if you need help setting up the template.
In your CSV, you will want to include:
- First name, Last name (optional)
- Email Addresses
- Phone Numbers (optional)
- Role (user, admin, analyst)
- User Group
Click Add once your file has been uploaded. Please ensure the file is in the CSV format.
This will automatically add your users to the platform and assign any content to them that you may have made visible to their user group.
In addition to adding new users through this format, you may also add new user groups to existing users. To do this, you will include their information (email address, role, position group) as if they were a new user. This will not reset their password, but it will allow existing users to see content that has been assigned to their new user group.
Note: This will NOT prompt an email - to send existing users a notification of new content assigned (through a new user group), first import the roster with new user groups and then assign content to that group afterwards.
